Role overview
As a Support Specialist, you will be part of a remote operations team managing order-related communications and status updates within our client’s digital production systems. You will be responsible for handling administrative workflows that are essential to ensuring the timely delivery of customized printed and embroidered clothing items. Your work will involve two web-based platforms: vPlan for managing tasks and updating order statuses, and Trengo for processing customer communications. While this role does not involve direct customer interaction, it requires meticulous handling of customer messages, accurate task tracking, and clear communication with our external production partner.
Requirements
- Upper-Intermediate English level.
- Previous experience with task tracking or CRM tools (experience with vPlan or Trengo is a plus).
- High attention to detail and accuracy under repetitive workflows.
- Strong logical thinking; must follow specific status-flow instructions without deviation.
- Comfortable with web-based applications and structured ticketing systems.
- Strong time management and task-switching ability.
- Reliable internet connection and quiet working environment.

General work conditions
- We are looking to cover the shift from 12:00 to 20:00 (UA time), Monday to Friday.
- This is a hybrid position based at our Chernivtsi office (Prospect Nezalezhnosti, 106A).

Responsibilities
- Embroidery Card Requests: Monitor new embroidery orders and ensure accurate submission of requests to the production partner via Trengo and proper status updates in vPlan.
- Print & Embroidery Approval Handling: Process customer responses to digital previews, update order statuses in vPlan based on approval or requested changes, communicate with the production partner, and ensure proper follow-up via Trengo.
- Workflow Consistency: Maintain strict accuracy when updating statuses, tagging parties, and routing tickets across systems to ensure smooth operations and prevent disruptions.
