Purpose of the Role
To ensure stable, efficient, and profitable operation of the salon, relieving the owner from daily operational workload. The Online Salon Manager is responsible for all processes in the salon — from appointment bookings to inventory and marketing — and ensures adherence to quality, cleanliness, communication, and sales standards.
Key Responsibilities
1. Operational Management
- Overseeing daily work of staff: reception, stylists, encapsulation team, online marketing team, sales manager, cleaning staff
- Verifying adherence to schedules, workload distribution, and on-time delivery of procedures
- Managing team chats, assigning tasks, monitoring execution
- Hosting daily/weekly online planning meetings
- Maintaining the internal calendar of meetings, events, promotions, trainings, inspections, etc.

2. Financial Control
- Creating monthly and quarterly financial budgets
- Reviewing daily reports on payments and sales
- Monitoring submission of financial data to the accountant
- Checking stock balances/shortages at the reception and in storage
- Pre-approving purchasing orders (cosmetics, hair, equipment)
- Monitoring all transactions that impact revenue

3. CRM and Client Service
- Ensuring proper functioning of the CRM system
- Checking accuracy of client data, appointment records, payment and refund status
- Handling complaints, monitoring fulfillment of the 30-day warranty by stylists
- Tracking and analyzing conversion rates from inquiries to bookings (Instagram, FB, Google, phone)
- Collecting and processing client feedback and reviews

4. Team and HR Functions
- Monitoring staff schedules and shift coverage
- Ensuring discipline, reporting, and adherence to appearance standards
- Maintaining a knowledge base: creation of SOPs, regulations, manuals, checklists, and training materials
- Participating in hiring, onboarding of new employees, and terminations according to internal procedures
- Organizing mini-trainings, mentorship, and onboarding of new stylists

5. Hair Sales Management (B2B)
- Setting sales plans and daily tasks for the hair sales manager
- Monitoring plan execution, daily activities, and client interactions
- Analyzing sales performance, product demand, and popular items
- Coordinating purchasing and working with warehouse
- Preparing daily, weekly, and monthly sales reports

6. Marketing and Online Communication
- Creating content plans, developing and approving marketing budgets
- Overseeing the work of the SMM and ad team: timelines, content quality
- Monitoring online managers: inquiry handling, response speed, communication style, evaluating calls using checklists
- Approving visual content and client photo reports (before/after)
- Generating reports on marketing budget efficiency (Conversion Rate, CAC — Customer Acquisition Cost, ROI)

7. Inventory and Stock Management
- Monitoring inventory (together with warehouse staff): deliveries, usage, shortages
- Implementing a barcode system (with the owner)
- Tracking hair movement: reception, encapsulation, storage, distribution to stylists
- Managing stock of cosmetics, consumables, and cleaning supplies

8. Compliance and Cleanliness
- Ensuring sanitation standards are met, checking salon condition (via video call or reports)
- Appointing a person responsible for compliance with State Board requirements
- Maintaining cleaning checklists, reviewing photo reports and client comments
- Preparing for possible inspections: documentation, hygiene, licenses

9. Reporting and Communication with the Owner
- Preparing daily/weekly/monthly reports for the business owner
- Jointly planning goals and tasks with the owner, approving decisions
- Analyzing business performance indicators and providing owner updates

Qualifications and Professional Skills
- At least 2 years of experience managing a salon or beauty studio
- Human resource management skills
- Online team coordination skills
- Proficiency in CRM systems
- Basic understanding of accounting
- Strong business communication skills
- Positive and proactive mindset
- Stress resistance
- Responsibility, organizational skills, initiative
- Experience handling complaints and conflict resolution
- English — Upper Intermediate
