We are expanding our Operations Support Team to provide 24/7 assistance to dispatch and drivers, ensuring freight moves safely, on time, and with the highest level of service.
Position Overview
The Operations Support Specialist will act as the backbone of daily fleet operations, handling time-sensitive communication, documentation, tracking, and troubleshooting. This role supports dispatchers by taking on critical operational tasks so they can focus on strategic planning, load optimization, and revenue growth.

Key Responsibilities
Driver & Customer Communication
- Communicate effectively with drivers and customers via phone, text, and email.
- Confirm dispatch instructions with drivers and ensure they understand requirements.
- Make pre-appointment and day-before calls; follow up on late arrivals.
- Support drivers with questions on seals, reefer temps, pulp tests, BOL accuracy, OSD, lumper needs, and delays.
- Escalate HOS/logbook, breakdowns, and other issues to the appropriate department.

Track & Trace
- Monitor load status in the TMS and Samsara GPS.
- Verify reefer temperatures and route adherence.
- Record check-in/out times and ensure tracking sync with customers.
- Communicate delays, deviations, and road/weather issues to dispatch.

Pickup & Delivery Support
- Collect and upload paperwork, photos (seal, reefer temp, secured load).
- Verify pallet/case counts and appointment details.
- Monitor detention, notify brokers/customers, and document proof.
- Confirm delivery paperwork, seal integrity, and accessorial charges.

Troubleshooting & Issue Resolution
- Assist with delays, breakdowns, and missing documents.
- Direct drivers to shops, authorize repairs, and coordinate updates.
- Maintain constant communication with dispatch and drivers until resolution.

Compliance & Data Entry
- Monitor ELD/HOS compliance in Samsara.
- Identify violations, unassigned segments, and incomplete DVIRs.
- Ensure logs are certified daily and escalate issues to Safety.
- Enter accurate notes, times, temperatures, and documents into TMS.
- Close out loads for invoicing (accessorials, splits, pallet counts).

OSD (Overages, Shortages, Damages) Management
- Collect photos, verify counts, and hold driver until resolved.
- Communicate with driver, dispatch, and customer.
- Document reason for OSD and follow customer resolution instructions.

Shift Handoff
- Provide thorough end-of-shift reports on open issues, detentions, and OSD cases.
- Ensure seamless communication with the next shift for 24/7 continuity.

Qualifications
- Strong verbal and written communication skills (English B2 or higher proficiency required).
- Fluent in Russian or Ukrainian.
- Ability to multi-task and stay calm under pressure.
- Strong organizational skills with attention to detail.
- Familiarity with TMS systems and telematics (experience with Samsara a plus).
- Problem-solving mindset with ability to escalate issues appropriately.
- Willingness to work flexible hours, including nights/weekends (rotating shifts).

- Shift A: Monday-Friday, 16:00—02:00 (Kyiv/EEST)
- Shift B: Thursday-Friday, 01:00—10:00, Saturday-Sunday, 16:00—02:00 (Kyiv/EEST)
- Shift C: Sunday-Wednesday, 01:00—10:00 (Kyiv/EEST)
- Shift D: Wednesday-Saturday, 09:00—17:00 (Kyiv/EEST)
- Shift E: Sunday-Tuesday 09:00—17:00, Saturday 01:00—10:00 (Kyiv/EEST)
